Privacy Policy
Last updated: 16 September 2026
ClearIt ("we", "us", "our") is an AI-powered assistant that helps you manage your emails, plan tasks and deadlines, and track your subscriptions and expenses. This Privacy Policy explains what information we collect, how we use it, the choices you have, and — in particular — how ClearIt accesses, uses, stores, and shares Google user data when you connect your Gmail account. By using ClearIt, you agree to the practices described here.
What ClearIt does
ClearIt brings your email, planning, and money management into one place. When you connect Gmail, ClearIt can read your inbox to help you prioritise and summarise messages, draft and send replies, extract deadlines and actions into your planner, and detect billing, receipts, and subscription renewals so you can track what you pay for. You are never required to connect Gmail — Gmail is an optional integration, and most ClearIt features work without it.
Information ClearIt collects
We collect the following types of information:
- Account information: your name and email address when you create a ClearIt account.
- Email content: when you choose to sync your inbox, the subject lines, sender details, and body content of emails you bring into ClearIt.
- Tasks and planner data: tasks, deadlines, and notes you create or that are extracted from your emails.
- Financial information: income, expenses, and subscription details you enter or sync, to power the Money Admin and subscription tracking features.
- Usage data: basic analytics about how you interact with the app so we can improve it.
Connecting your Gmail account
ClearIt offers an optional Gmail integration. If you choose to connect, you will be asked to grant ClearIt permission through Google's secure OAuth consent screen, where you can review and approve the specific permissions before anything is accessed. ClearIt uses an app-user connection model: each user connects their own Gmail account, and only that user's own token is used — the app builder's Gmail account is never shared with other users.
What Google/Gmail information ClearIt accesses
When you connect Gmail, ClearIt requests two permission scopes. We only access the information needed to provide the features you actively use, and we do not access information unrelated to the ClearIt features you have selected.
Scope: gmail.readonly
This scope allows ClearIt to read your Gmail messages and metadata. ClearIt uses it to:
- List the most recent messages in your inbox so you can view, prioritise, and summarise them.
- Fetch the sender, subject, and body of messages you choose to scan or summarise.
- Search for billing, invoice, receipt, payment, and subscription-renewal emails to help build your subscription and expense list.
- Detect deadlines and actions in your emails so they can be added to your planner.
Scope: gmail.send
This scope allows ClearIt to send emails on your behalf. ClearIt uses it solely to send the replies that you draft and explicitly approve from within the app. ClearIt never sends emails automatically without your action.
ClearIt does not request scopes that would let it delete messages, change labels, modify Gmail settings, or permanently remove mail. We do not request the broad mail.google.com/ scope.
What information is stored
Yes — to power features like your inbox view, planner sync, and renewal tracking, ClearIt stores the email records and extracted data you bring into the app in your account. This includes:
- The subject, sender name, sender email, and body of emails you scan or sync.
- Gmail message and thread IDs, used to avoid importing the same email twice.
- Deadlines, tasks, and actions extracted from your emails and added to your planner.
- Subscription and expense records created from billing emails you sync.
This data is stored securely and is associated with your account so that only you (and ClearIt administrators for support purposes) can access it. We do not store your Gmail password — authentication is handled through Google's OAuth tokens, which can be revoked at any time.
How Gmail data is used
We use your Gmail data to provide and improve the ClearIt features you actively use:
- Summarise, prioritise, and help you draft replies to your emails.
- Extract deadlines and actions and add them to your planner.
- Track your subscriptions, expenses, and renewal dates from billing emails.
- Send the replies you draft and approve.
- Maintain and secure your account and troubleshoot issues.
We may use AI models to process your email content and generate summaries, drafts, and task suggestions. This processing happens to deliver the features you requested.
Whether Gmail data is shared with third parties
We do not sell your Gmail data. We share data only in the following limited circumstances:
- Service providers: trusted processors that help us run ClearIt, such as payment processing (Stripe), email delivery, and AI model providers. These providers only receive the data necessary to perform their function and are bound by confidentiality obligations.
- Legal compliance: if required by law, court order, or to protect the rights, property, or safety of ClearIt, our users, or others.
- Business transfers: in connection with a merger, acquisition, or sale of assets, with assurances of continued protection.
We do not share your Gmail data for advertising purposes. When you connect Gmail, your use of that integration is also subject to Google's own privacy policies and terms.
Google's Limited Use requirements
ClearIt's use of information received from Google APIs adheres to Google's Limited Use requirements. In particular:
- We only transfer Google user data to third parties if it is necessary to provide or improve the features you have requested.
- We do not allow third parties to use Google user data for purposes other than providing or improving the ClearIt features you use.
- We do not use Google user data to serve personalised advertising.
- We do not sell Google user data.
- We do not share Google user data with third parties except as described in this Privacy Policy.
How to disconnect Gmail
You can disconnect Gmail at any time. To do so, go to Settings within ClearIt and use the Gmail connection controls to revoke access. You can also revoke ClearIt's access directly from your Google Account security settings under "Third-party apps with account access." Disconnecting stops ClearIt from accessing new Gmail data going forward.
How to delete your data
You have the right to request deletion of your data. To do so, contact us through the Contact page and request that your account and associated data be deleted. We will process your request and remove your information, except where we are required to retain it for legal or accounting purposes. Revoking Google OAuth access does not by itself delete data already stored in ClearIt — please submit a deletion request to have stored records removed.
Data security and retention
We use reasonable technical and organisational measures to protect your information. We retain your data for as long as your account is active or as needed to provide the services, comply with legal obligations, resolve disputes, and enforce our agreements.
How to contact ClearIt
If you have any questions about this Privacy Policy or your data, you can reach us through our Contact page. We are committed to responding to your privacy concerns promptly.
Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. We encourage you to review this page periodically.
